Organise guest photo strips without a folder full of duplicates
Use session references rather than putting unnecessary personal data in filenames.
Several groups can make similar-looking strips in one evening. A simple reference keeps the files distinct and makes delivery easier without turning the folder into a public list of guests.
Use a session reference
Our event example is event-20261003-session-001, followed by a version suffix when needed. Give one helper responsibility for assigning the session number and record any missing number in the run sheet. Keep that reference stable when somebody requests another copy, so delivery and capture remain connected.
Keep delivery details separately
If you need a private note linking a session to its recipient, keep it outside the picture and do not expose it in a public gallery. Collect only what the delivery route actually needs. A filename with a full address or phone number is rarely necessary to identify a photo strip.
Check before sending
Open the intended session and verify the people with the recipient. Flashroom’s export creates a keepsake, while organiser-side delivery records are a separate task. Follow the agreed retention plan afterwards and keep any troubleshooting report free of unnecessary personal images.
