Make & keep
Export the catalogue as well as the photographs
Keep descriptions usable outside one collection app.
Your portraits can survive a software change while their names, dates and relationships become difficult to retrieve.
Inspect what the export includes
Check whether your catalogue tool exports identifiers, descriptions, uncertainty notes and file locations. Save a sample in a common readable format available in that tool. Open it elsewhere and compare several records. A folder of pictures alone may omit the research that explains who or what they show.
Preserve a documented package
Keep the catalogue export beside an organised set of master images and a short note describing the fields. Include the export in your backup test. If a specialised format is also useful, retain it too; the readable copy is an access safeguard, not proof that every feature of the original software was preserved.
